Because the purpose of LBGIE" is to aid in the management of email campaigns, it is necessary to send messages in order to take advantage of its features. This chapter will provide you with detailed instruction on each step of this process. Here you will learn how to create a new message in both plain text and HTML format, and schedule a time for the message to be sent. You will also find information on adding a "pass-along" form, an "unsubscribe" link, and attachments to your message. This chapter will also show you how you can take full advantage of the many tracking, reporting, and profiling features that LBGIE" has to offer.

This is the email address that will receive a test copy of your campaign when you click the Send Test button at the bottom on the Author & Send Email page. Your test campaign will arrive with TEST: marked in the subject line.
This field is only shown if you have To Name Personalization enabled within List Settings. The purpose of To Name Personalization is to insert the recipients name in quotes in the To field of their email program. Should you utilize this feature, the recipient will see something like this in the To: line of their email program, TO: Bob Smith <bsmith@company.com>. When To Name Personalization is not used the line would look like this:
TO: bsmith@company.com
This is the email address from which the message will appear to have been sent. If a recipient were to reply to your message, it would be sent to the address you entered in this field. This is also the address to where the message will be sent if you click the "Send To Myself" button. You can change this on a per-message basis. To change the address that appears here by default, see Managing Lists: List Settings.
This is the name that will appear in the 'From' field of the message. For most email programs, this is the name that will appear as the sender's identification in the inbox. You can change this on a per-message basis. To change the address that appears here by default, see Managing Lists: List Settings.
LBGIE allows you to specify different From and Reply To email addresses. By specifying an email address in this field you can set a different Reply To email address than your From. If you do not specify a Reply To Email your Reply To Email address will be set to the From Address.
This is the subject line of the message you are sending and will be clearly visible in most recipients' inboxes. In many cases, the subject of an email message is what determines whether or not it is opened by the recipient, so give your message a relevant and interesting subject.
You have the option to send your message immediately, or schedule it for anytime in the future. To send your message immediately, keep the radio button selected in the send immediately position.
To schedule your message to be sent in the future, set the radio button to the schedule send position. Once selected, you will have the opportunity to use our integrated calendar to choose a date for your scheduled message. You are required to chose a time for your scheduled message to be sent. You can use the drop down menu to the right of the calendar icon to chose a time to send your message.
When sending an email to a large list of recipients, it is not uncommon for the message to "bounce back" from one or more addresses. This means that the mail server is unable to deliver the message to the intended recipient, and therefore returns it. This can happen for several reasons, such as the recipient's mailbox is too full, a server is down, or the email address is no longer in use.
If you would like your message resent, you may choose an option from this drop-down to have LBGIE attempt to deliver your message for the chosen number of days set.
If you would like to add one or more attachments to be sent with your message, click the "Edit Attachments" button. A new page will appear containing the form shown in Figure 2-2:

To add an attachment, click the button labeled "Browse." This will open a window similar to Figure 2-3:

Once you've located the desired file, select it by either double-clicking on it or highlighting it and then clicking the "Open" button. You will now see the previous screen with the file path and name inside the text box. To attach the file to your message, click the "Add File" button. The file name will now appear below the text box. To remove an attached file, click on the trash can icon to its right.

You may now attach additional attachments in the same manner. When you are finished adding attachments, click the "Continue" button to return to the Author Message page. You can return to editing your attachments at any time before the message is sent by clicking the "Edit Attachments" button.
Note: LBGIE" limits the combined size of attachments per message to 3MB. If the total size of a message's attachments exceeds this limit, you will be prompted to modify the attachment list.
LBGIE" makes it possible to report and graph a variety of information gathered by keeping track of each time a hyperlink in an HTML message is clicked by a subscriber. If you plan to include links in your message, and would like to monitor subscribers' click activity, then select "Yes" for this option. Once the message has been sent, you can go to LBGIEs" "Reports" section to see the number of clicks each link has received, which subscribers clicked on links, and much more.
Enabling the Pass-Along feature will add an area at the bottom of your message where recipients can enter friends' or colleagues email addresses, then quickly forward the message on to them.

Once the subscriber clicks on the "Send To A Friend" button, a new browser window containing the form shown in Figure 2-6:

The subscriber must simply enter the requested name information, then click the "Send Message" button. He or she may then continue passing the message along to others by filling out and submitting the form for each new recipient. When the subscribers friend receives the message, a line will have been added to the top of it that says, "Dear (friend's name), this message has been passed along to you by (subscribers name)."
LBGIE" makes this feature available to you because some email applications do not retain the formatting of HTML messages when forwarding them. The Pass-Along feature will provide all subscribers with a means of sending your message to others, regardless of what email program they use.
Note: Messages sent to others via the Pass-Along feature will only include attachments contained in the original message for a period of fourteen days following your original mailing. After that, messages that are passed along will contain only the message body.
You can customize the message text that is included at the top of each pass-a-long message by clicking the Pass-a-long Message button. This feature allows you to customize the brief intro text for both the plain text and HTML parts of a pass-a-long message. You can chose to include special offers, branding elements or an explanation of why the recipient is receiving the pass-a-long message. Since the top area of each pass-a-long message is completely customizable there is no limit to what you can do.
Note: Profile Settings will only appear if you have a LBGIE Pro or LBGIE Enterprise account. LBGIE Lite accounts do not include Profile Filtering. Also note that you must have created at least one profiling header for the selected list to modify your profile filter settings.

If you have set up one or more profile headers for the selected list, you may choose to apply a profiling "filter" to your message. This will mean that the message will be delivered only to those subscribers who fit the attributes that you select. You may also choose to send the message to all subscribers, regardless of profiling information. To do this, simply do not select the Edit Filter button and verify that Profile Filter Settings Review box reads No Profile filter set.
To apply a profile filter to segment your list you will want to begin by selecting the Edit Filter button. Once selected the Profile Filter Wizard will pop-up in a new window. If you do not see the pop-up you may want to ensure that the pop-up was not blocked by your web browser.
In order to create your first profile filter you will want to first choose the profile header that you want to filter on by selecting that header from the Choose Header drop down. Once you choose your first header a new drop down will then appear allowing you to choose the attribute you want to filter on. Depending upon the attribute data type (text, number, radio button, checkbox) you will then be able choose a compare type. If your attribute data type is radio button or check box you will not have to choose any additional profile filter criteria. If your attribute data type is text or numeric you will then need to specify a value to filter on.
You will now have the opportunity to specify a Boolean expression to compare or combine your filter with another profile header or another profile attribute. To do this choose an expression from the Join to Next column. Next, click the disk icon on the right side of the wizard to save your filter settings. Alternatively, you can choose the strike-through icon to start over.
If you want to continue to filter on the same profile header you can click the new button to create additional filter criteria. If you want to compare your existing filter criteria with another header you may choose a Boolean expression from the Join to Next Group With drop down. This will allow you to choose additional profile filter criteria.
At anytime you can use the up-arrow and down-arrow icons to move your profile filter criteria up or down.
LBGIE allows you to get an accurate list count of the number of subscribers included in your profile filter. Simply click the Get List Count button to get your profile filter list count.
Note: The Personalization Control Panel will appear if you have a LBGIE Pro or LBGIE Enterprise account. LBGIE Lite accounts do not include Profile Filtering. Also note that you must have created at least one profiling header for the selected list to modify your profile filter settings.
Simple Profiling
Through Simple Profiling, you can use the profiling data stored in LBGIE" to personalize your message for each recipient. This feature allows you to insert profiling fields (also called attributes) into your message that will be replaced with each recipient's stored data when the message is sent. This is similar to other applications' "Mail Merge" feature. For example, to personalize your email campaign you might use the Simple Profiling Control Panel to insert each recipients first name into his or her message.

To insert a profiling field for use in your campaign you will want to select the field in the personalization box. You will notice that the personalization tags appears in the text box to the right. You will want to copy and paste the personalization tags from the text box into your campaign specifically where you would like the personalization to occur. Note you can use personalization tags in both the plain text and HTML content areas.
Here is an example of the HTML code for a short message created with simple profiling:

You can see that when the message is sent, the profiling fields you enter are replaced with actual values. Each email that is sent is personalized with data stored for that recipient. It is possible, though, that not every subscriber will have profiling data saved for every field. For example, this is how this sample message would appear to a recipient who has no values saved for favorite number or color:
Hello Joseph!
I see by our records that you live in Newark. I also see that your favorite number is and that you like the color .
It is possible, however, to avoid subscribers receiving messages with blank spaces:
In the case of this sample message, it really only makes sense to send it to subscribers who have data stored for all of the inserted fields. Therefore, subscribers without data could be omitted in the mailing by using the Profile Settings options to limit sending to only those subscribers who have "valid" data saved. For instance, Favorite Number could be set to "Between 9999 And 9999" to exclude subscribers with empty values.
Other times, though, you may want the message to be sent to everyone, regardless of how much data they have stored. In such cases you can use Advanced Profiling (see next section) to personalize where possible, but have blanks filled in with a default value when data is not available.
To access Advanced Profiling features, click the Advanced Options button. The options shown in Figure 2-9 will appear within the Profile Control Panel:

While Simple Profiling allows you to insert profiling fields into a message, Advanced Profiling allows you to modify the way these fields will be displayed in the final message. To use any of the following features, select the checkbox to its left before inserting the field. For more information on inserting fields, see Simple Profiling earlier in this chapter.
Through Simple Profiling, you can use the profiling data stored in LBGIE" to personalize your message for each recipient. This feature allows you to insert profiling fields (also known as attributes) into your message that will be replaced with each recipient's saved data when the message is sent. This is similar to other applications' "Mail Merge" feature. For example, to personalize your email campaign you might use the Simple Profiling Control Panel to insert each recipients first name into his or her message.
However, if a recipient has no value stored for a profiling attribute, a blank space will appear in its place. To avoid having these holes in your email message, you can make use of the Advanced Profiling Default option. This feature allows you to select a value to appear when a subscriber has no value stored for a field.
For example, lets assume I would like the first line of my message to read, Hello <First Name>!. To create this, I first click the Advanced Profiling button in the Profile Control Panel. The Advanced Profiling check boxes will now be visible. Next, I select the check box to the left of the word Default. Because I am creating an HTML message, I return to the HTML body area and type the Word Hello followed by a space. I can now insert the First Name field by clicking the + to its left, then type the final ! to finish the line.
My newly inserted HTML tag looks like the following:
<<Personal Information\First Name Default="">> .
In cases where there is no first name stored for the subscriber, I want to replace <First Name> with Valued Customer. To do this, I can insert my cursor between the quotation marks after the word Default and type my default value. The tag now looks like the following:
<<Personal Information\First Name Default="Valued Customer">>.
When the message is sent, subscribers for whom a first name is stored will receive a message that includes the stored value in the first line. All others will receive a message that begins, Hello Valued Customer!.
When inserting fields, there may be times when you would like to label each value with the field name. To save typing each name, you can use the Show Attr. Name checkbox. With this check box selected, all inserted fields will automatically contain the field name when the message is sent. For example, inserting the First Name and Last Name attributes with the Show Attr. Name option would result in the following code:

If you insert an entire header into a message, the headers attributes will be separated by a delimiter in order to make it easier to read. The default delimiter is a comma. To specify another character or string to be the separator, select the Attribute Delimiter check box before inserting the header field. For example, to insert the Music Buying Habits header with an asterisk as its attribute delimiter, the tag would look like the following:

where the * was typed in as the delimiter value after the tag was inserted.
The delivered message would contain the following:
20*15*Cheryl Wheeler*I have purchased music by mail and I have purchased music on the web
Notice that the last two attributes are separated with the word and instead of the asterisk. Unless otherwise specified, LBGIE" will always separate the last two fields in this way. For more information on making all of the delimiters the same, see Dont Show And later in the Advanced Profiling section.
The Specify Format option allows you to modify the appearance of profiling field values. When you select the check box next to this option before inserting an attribute, Format = ?value? will be added to the attributes tag. You can add any characters
When inserting fields, there may be times when you would like to label each value with its header name. To save typing each header, you can use the Show Header Name checkbox. With this check box selected, all inserted fields will automatically contain the header name when the message is sent. For example, inserting the Personal Information header with the Show Header Name option would result in the following code:

Alternatively, you can precede an individual field value with its header name by selecting the Show Header Name check box, then inserting a single attribute. By doing this with the First Name and Last Name fields, the message would contain the following:
Personal Information James
Personal Information West
Note: A carriage return was entered in the message body to force each field onto its own line.
By default, fields entered with the Show Label option checked will separate the header name from the field value with a single space. You can use the Header Delimiter option to specify another character or string to be placed between the two. To do this, you will need to select both the Show Header Name and Header Delimiter check boxes before inserting the profiling field. For example, to insert the First Name attribute with a space, two hyphens, and another space as its header delimiter, the tag would look like the following:
<<Personal Information\First Name ShowName="TRUE" NameDelimiter=" -- ">>
where the -- was typed in as the delimiter value after the tag was inserted.
The delivered message would contain the following:
Personal Information -- Jane
If you insert an entire header into a message, the headers attributes will be separated by a delimiter in order to make it easier to read. By default, LBGIE" always separates the last two values with the word and instead of the delimiter used between previous values. By selecting the Dont Show And checkbox before inserting a header, all attribute values will be separated by the same delimiter. The following shows how the same header would appear in the delivered message, first without, then with this checkbox selected.

There may be times when you would like to insert text into your message, but only if the subscriber has a value saved for a particular profiling field. These would be cases in which it would not work to substitute missing values with a default value. For example, if you wanted to provide text within the message body based on the subscribers age, you would not be able to supply a default age to be used for every subscriber who does not have one saved in LBGIEs" database.
You can use the Show Closing Tag option to skip portions of a message when no subscriber data is available. When you insert a field along with its closing tag, everything between the opening and closing tag will be ignored if the subscriber has no stored value for the field. For example, by entering the Age attribute along with its closing tag, the following could be inserted:
<<Personal Information\Age>> is the perfect age to start exercising! <</Personal Information\Age>>
where the text between the two tags was typed in after the field was inserted.
When the message is delivered, only subscribers who have a value saved for Age will see any of the sentence, which would look similar to the following:
60 is the perfect age to start exercising!
You can even use this feature to eliminate other profiling fields by placing them between the opening and closing tags of the required field.
By selecting this check box before inserting a profiling field, the subscribers value for that field will not be displayed in the message text. Although you may find times when this is desirable, it is most useful when used in conjunction with the Show Closing Tag option. By using the two together, you can skip portions of a message when no subscriber data is available without having to display the required field as the first item in the sentence.
For example, you wouldnt want to add the sentence A special offer, just for {Favorite Artist} fans! to messages of subscribers for whom no Favorite Artist was saved. Nor would you be able to insert a default value for favorite artist that would apply to all subscribers without stored data.
The best way to get around these issues would be to select both the Show Closing Tag and Dont Show Value check boxes before inserting the Favorite Artist attribute into the message body. In fact, inserting the attribute should be done before entering any of the sentence because the text must go between the opening and closing tags to ensure that none of it appears if the subscriber has no favorite artist data saved. For more information on skipping portions of messages, see Show Closing Tag earlier in the Advanced Profiling section. The code for the sentence would look like the following:

The delivered message would contain the sentence only in cases where the subscriber has a value saved for Favorite Artist. For all others, the sentence would just be skipped.
Because some email programs do not support HTML email, LBGIE" allows you to enter your message body in both HTML and Plain Text. Even if you intend to send an HTML message, you will want to enter a Plain Text version here to accommodate recipients who are unable to receive the HTML version.

You may want to keep the following information in mind when composing your plain text message body:
· The length of the tab character may be inconsistent. Therefore, to indent a sentence or center a heading, the spacebar will provide the most control.
· If some portions of your message are right justified, you will need to control the right margin. A safe line length is 72 characters per line.
· Special characters (such as "smart quotes" or mathematical symbols) may not get accurately transferred in a plain text message.
· Where sentences wrap to the next line will be determined by many factors, such as the email application being used, window size, and monitor resolution. Use hard carriage returns to insert line breaks instead of relying on the word wrap feature.
· Fonts will become whatever a computer uses as its default face and size, so boldface, italics, and various sizes will not appear in the plain text version.
· Bullets often turn into an "&" or other symbol in a text translation. It may be best to use a hyphen "-" instead.
· You can test the plain text version of your message by leaving the HTML area empty and clicking the "Send To Myself" button. This will allow you to view how the plain text message will appear when delivered.
By creating the message body in HTML, you will be able to add images, modify font appearance, and control layout and positioning. You can type your HTML code directly into the text area, or you may choose to use an HTML editor such as Front Page or Dreamweaver to create the code, then copy and paste it into the message body area. Alternatively, you may want to use our embedded HTML Editor to compose a message or use it in conjunction with several of our pre-made HTML Templates.

It is very important that you include the full URL for any links or images included in your HTML text, beginning with "HTTP" and ending with the file extension. Also, all images must reside on a server accessible through the Internet for subscribers to see the images in their email message.
You may want to keep the following information in mind when composing your plain text message body:
· Because many people keep their monitor resolution set to 800 x 600 or less, it is best to design HTML messages with a maximum width of 600 pixels. You want subscribers to see as much of your message body as possible without having to scroll right and left.
· Use tables in your HTML code for maximum control over placement of text and images, and the width of your message body.
· It is best to keep the message size, including images, to less than 40K to avoid long download times.
· Images should be in GIF or JPEG format.
· HTML Code is sometimes interpreted differently by different email applications. Test your message in as many applications and browsers as possible to ensure that it is formatted correctly for each.
LBGIE supports a fully functional embedded HTML Editor. In order to invoke the HTML Editor you will want to click the Switch to HTML Editor button. Once you click this button the HTML Editor will load into the browser window. From here you can begin to author your own campaign or load one of the LBGIE HTML Templates.

LBGIE includes a Template Manager that allows you to create and manage HTML Templates for use in your email campaigns. All of the templates that are available to you within the Template Manager will be available via the HTML Templates drop down menu within the HTML Content pane. To load an HTML Template into the HTML Editor, select the HTML drop down menu and select the template of your choice then click the Load button. The HTML Template will load into the HTML Editor and you can begin to modify the template to suit your needs.
LBGIE allows you to save your campaign at any step of the campaign creation process. Once you save your campaign you can recall it at any point. In order to save your campaign, just name your message by filling out the input box in the Save Message pane then click the Save button. Once your message is saved, you can recall it selecting the View Saved Messages menu item under the Author tab.
By selecting the View Saved Messages menu item you will be presented with a list of saved messages. By clicking on the subject of the message the saved message will be loaded into the Author & Send Message page. If you click on the trash can beside each message the saved message will be deleted.
At the button of the Author & Send Email page you will see several buttons that carry out different campaign functions as shown in Figure 2-13. The text below describes the functions of each button.

Click this button to send a copy of the message to your review group for reviewing before sending to your entire list. The review messages delivered to the review group with be marked with REVIEW: in the subject line. To edit review group members, see Managing Lists: List Settings. Note: if you have not defined any email addresses in your review group this button will not be shown.
Deliverability is the #1 concern of email marketers today. That's why LBGIE has developed Spam Score. Use the Spam Score feature to quickly scan your permission-based email-marketing message for content that may be blocked by content filters. When the scan is complete, you will receive a Spam scorebased on the Spam Assassin rating system which will help you determine whether your message is in danger of being blocked by Spam filters. LBGIE's Spam Score feature will also provide recommendations that will most likely increase your message's deliverability rate.
Spam Assassin is the most popular free content scoring software available on the Internet and will most likely be in use in business to business and small ISP settings.
There are many factors involved with email marketing deliverability, and not all spam filters are the same. Therefore, using LBGIE's Spam Score low and using best practices for copywriting and message composition are good first steps. After that, count on LBGIE to keep a close eye on the email marketing industry. Based on the newest information, we continually update and produce new and innovative ways to help all of your messages get delivered.
Most mail server administrators set their Spam Assassin threshold at 5. This means that you will want to make sure that your Spam Score is below 5.
If content within your message qualifies, LBGIE will display Other LBGIE Recommendations. These continually updated recommendations are a result of research done by the professional services team at LBGIE. Use these recommendations in addition to the Spam Assassin recommendations to achieve the best deliverability possible.
Click this button to send a copy of the message to yourself for reviewing before sending to your entire list.
Note: When you click "Send To Myself, the message will be sent to the address currently in the "Test Address" field.
When you click the Preview Mailing button, a small window will open containing a sampling of recipient email addresses. (Figure 2-14) Only addresses of subscribers who would actually receive the message will be shown. This means that if you are using Profile Settings to filter out subscriber addresses, those addresses will not appear in this message preview window. Each page in the preview window will contain a maximum of fifteen email addresses. To see another group of fifteen, click on one of the numbered links at the top of the page.

You can click on an individual email address to see how the message, in its current state, would appear to that subscriber. (Figures 2-15, 2-16) This allows you to see changes to the message body immediately, without having to do a Send To Myself test mailing. This feature is also very convenient when using Advanced Profiling because it allows you to quickly verify that you have inserted the profiling tags correctly, and that subscribers will receive the message as you intended.

Once you click this button, you will be asked to confirm that you would still like to send the message. You will also be shown the number of free emails you have used for the current month, and the number still remaining. If sending the current message will result in additional charges to your account, these additional charges will be included in the confirmation request.

Click the "Send To My List" button to send the message to your list's subscribers, or the "Cancel" button to abort the sending process.
Note: You may still send an unlimited number of messages once you have reached your allotted number of free emails. You will be billed for these additional emails at the "per additional email cost" specified when you created your account.
If you have scheduled a message to be sent at a later time, you can make changes to it up until the time it is sent. Select "Author & Send E-Mail Edit Scheduled Message" from the drop-down menu.

To edit a message, click on its subject. This will open the Author Message page with all of the message's data filled in. After making your changes, click the "Update" button at the bottom to save the message.
To change when the message will be sent, click the "Edit" button to the right of its subject. A form will appear that will allow you to quickly modify the scheduled date and time.

If you would like to cancel a scheduled message, click the "Delete" button. You will be asked to confirm your decision before the message is actually deleted. Once deleted, however, the message can no longer be referenced and any content will have to be recreated.
You can easily preview how your message will look by selecting either "Plain Text" or "HTML" from the "Preview" drop-down. A new window will open with a copy of the final message in it. This will allow you to view your changes immediately, without having to send a copy to yourself from the Author Message page.
